BMWCLUB EVENT PAYMENTS BY EFT - PLEASE ASSIST

This is a special request for something actually quite normal.

 

As you all heard at the AGM, some 270k rond flows thorugh the club account each year.

Keeping track of payments and transactions should be a simple easy task.

 

Asking you, the payer, to please put your name and the reference is also supposed to be an easy ask.

However, there is a huge bundle of unnecesary drama &  stress added to every event just becuase some people do not put the elements down and we cannot trace who paid for what.

 

Here are some common errors

  1. You paid for a tour last June and added the BMWMCCC as a beneficary, Now you are paying for an event and you have not changed the detail under the field - BENEFICARY STATEMENT:       We then only see the refernce to the tour you paid for last time.
  2. You pay and do not put your name
  3. You pay and you do not put the event
  4. you pay club dues at the same time so the amounts do not match up

 

This is an active club, currently there are seven (7) tours/events on the schedule for which payment is coming in.

You cannot imagine the huge process of validating who has paid and for what.

We have most payers putting their names and the right reference. Thanks this part is then easy to recon.

We have far too many who have not put correct details as requested.

On the statement - We have event, but no name -so who is the person that deposited this money for the event

On the statement -we have name, but no event -what are you paying for? the amounts do help some but's still a drag

 

On the statement -  we have your name a reference but because you paid for some other things, the amounts do not tally and we cannot piece it together easily.

Now multiply this by seven trips/events and 25 people with some 20% doing it incorrectly and the treasurer has a drama of note to sort out.

Help make life easier by making sure your name and the reference is on the payment advice so that it reflects correctly on the statement.
